The Opportunity As an Accounting Administrative Assistant, you will be a key player in enabling Kelly+Partners’ next phase of growth. The successful applicant will become an integral part of the broader team and will be exposed to a variety of clients and the opportunity to learn in a public practice environment.
Position Responsibilities Admin/Office support
- Manage supplies, ordering, organizing and maintaining stock (including printer toners)
- Coordinate with vendors (cleaning, copier, Shred-it, etc.)
- Handle incoming and outgoing mail; manage postage and courier runs
- Organize office events (birthdays, lunches, holidays, etc.)
- Keep office and supply areas tidy.
Tax Season Support
- Help track which tax files have been received or are outstanding
- Assist clients with receiving /downloading emailed files (missed payments, vouchers)
- Scan tax backup for 1040s
- Learn to complete W-9s and assist with EIN applications
- Draft Power of Attorney forms and correspondence as directed
- Support preparation of tangible tax returns for clients
Other/Admin
- Support payroll and billing tasks
- Assist with deposits and client invoicing
- Manage FedEx and other vendor orders
- Provide general administrative support for Partners and Team Members.
- Help with Zoom and remote meetings setup for Team Members.
About You - 5+years of experience in professional service/accounting firm operations
- High school diploma or equivalent required; associate or bachelor's degree in accounting, Finance or Business is a plus
- Strong organisational skills with high attention to detail
- Basic understanding of accounting and general ledger processes
- Proficiency in Microsoft Office (Word, Excel, Outlook) and QuickBooks
- Team player with a proactive problem-solving attitude.
- Ability to handle bookkeeping, data entry, account reconciliation and administrative tasks in a fast-paced environment
